GUIDELINES & POLICIES

Clear agreements and practical details, so the experience stays calm and uncomplicated.

Private journeys with Adventures With Meaning are designed around real mountain conditions and individual pacing. This page outlines planning boundaries, flexibility, guest responsibilities, and key policies so there are no surprises.

If anything here raises a question, we’ll talk it through before a booking is confirmed.

CONDITIONS-BASED PLANNING

Journeys are not built around fixed destinations or guaranteed endpoints.

Route, timing, and location are chosen close to the date based on:

  • weather and trail conditions

  • seasonal character and access

  • crowd patterns and park restrictions

  • your comfort, energy, and interests

Specific trails, viewpoints, or iconic destinations are not guaranteed. What is guaranteed is a thoughtfully planned day guided with conservative judgment and clear communication.

WEATHER, CONDITIONS & FLEXIBILITY

Mountain environments are dynamic. As part of private guiding:

  • the route may be adjusted before or during the day

  • timing and pacing may change as conditions unfold

  • an alternate area may be proposed if needed

Flexibility is built in from the start so decisions can serve safety, comfort, and experience quality — rather than forcing a plan that no longer fits.

GUEST RESPONSIBILITIES

Journeys take place on well-defined, non-technical trails (no scrambling or exposure), but they are still mountain environments.

Guests are expected to:

  • be reasonably fit and comfortable walking for several hours

  • disclose any injuries or medical considerations that may affect participation

  • arrive prepared with the clothing, footwear, food, and water outlined in pre-journey guidance

  • follow the guide’s instructions and decisions during the day

If fitness, preparedness, conditions, or conduct compromise safety or the quality of the experience, the plan may be adjusted or the day may end early. These decisions are made using professional judgment with guest well-being as the priority.

CANCELLATION & RESCHEDULING

Because each journey is custom planned and scheduled, a clear cancellation policy is part of responsible guiding.

Your specific cancellation terms are reviewed and confirmed before payment is accepted. In general:

  • journeys require advance planning and calendar commitment

  • cancellation windows apply based on proximity to the date

  • weather, environmental conditions, park restrictions, or safety factors may lead to a modified plan, alternate location, or rescheduling rather than guaranteed refunds

If a journey must be modified, rescheduled, or cancelled due to weather, environmental conditions, park restrictions, wildlife activity, or safety concerns, reasonable efforts will be made to offer an alternative date or experience where feasible.

WAIVER & ASSUMPTION OF RISK

Participation requires completion of a season-specific waiver of liability, provided in advance.

Outdoor travel involves inherent risks that cannot be eliminated, even with conservative planning and professional guidance. By participating, guests acknowledge these risks and accept personal responsibility for their choice to engage in outdoor activities.

Questions about the waiver are always welcome before signing.

PRIVACY, DISCRETION & JOURNEY STORIES

Privacy and discretion are foundational.

  • journeys are confidential by default

  • guest names, images, route details, or personal reflections are never shared publicly without explicit written consent

  • facilitated journeys follow professional confidentiality within clearly defined boundaries

Following a journey, a Journey Story may be created as a personal keepsake. These remain private unless a guest explicitly chooses to share them.
